
Terms and Conditions for Nepal
1. Booking and Payment Terms
To ensure a smooth and successful adventure with Fourteen Peaks Expedition Private Limited, we require clients to book their trip at least three months in advance. This allows adequate time for all necessary preparations.
To confirm your booking, a 30% deposit of the total trip cost is required. This payment covers initial arrangements such as hotel bookings, flights, guide and porter services, and government permits. Another 30% is due one month prior to departure, with the remaining 40% to be settled upon arrival in Nepal, before starting the trip.

2. Cancellation Policy
We understand that plans may change, and cancellations might be necessary. To manage operational costs associated with preparing for each trip, we have the following cancellation policy:
Important: Cancellation fees reflect the expenses incurred by the company in preparation for your journey. We recommend purchasing comprehensive travel insurance to cover unexpected cancellations.
3. Late Booking
Late bookings can be made as close as 10 days before departure, though please note that this may incur additional charges.
4. Required Documentation
Clients must provide a passport-sized photo, a copy of their passport, and complete all necessary forms. For expeditions over 8,000 meters, clients must submit proof of successfully summiting a peak over 6,000 meters. The company is not responsible for any issues arising from missing documentation submitted after the specified deadline.
5. Insurance and Travel Risks
Clients are required to secure comprehensive travel insurance that covers medical expenses, evacuation, and search and rescue missions before departure. Due to the inherent risks associated with high-altitude treks and expeditions, we strongly advise coverage for helicopter evacuations, trip cancellations, and personal accidents.
The company will gather your insurance details to facilitate emergency actions. However, we do not assume responsibility for costs not covered by your policy. Clients are fully responsible for any expenses not covered by their insurance provider.
Please note that air evacuations may be limited in certain regions, and clients should prepare for such eventualities. While the company will assist within local regulations, the safety and well-being of clients remain their personal responsibility.
6. Incomplete Trips
No compensation will be provided if a client is unable to commence or finish the trip due to personal issues such as illness or injury. Similarly, if the trip is affected by unforeseen events like natural disasters or government permit cancellations, no refunds will be provided.
7. Client Compliance and Authority
Clients must comply with all local laws, regulations, and customs during their trip. The company is not responsible for any unlawful actions taken by clients. In cases of illegal behavior, we reserve the right to involve local authorities, and any legal consequences will be the responsibility of the client.
The trip’s guide or team leader holds ultimate authority and is responsible for the safety of the group. Clients must follow their instructions at all times. If conflicts arise among clients, our staff will mediate, and, if necessary, local authorities may intervene.
8. Itinerary Modifications and Additional Costs
Although we provide well-designed packages based on extensive experience, we understand that individual preferences may differ. If you require modifications to your itinerary, we will accommodate your needs at the time of booking, with any additional time and costs agreed upon.
Unforeseen circumstances, such as bad weather or unexpected events, may require adjustments to the itinerary or price. These will be made with the client's agreement.
Client-requested changes, such as delays, damage to equipment, or additional services, may increase the overall price of the trip.
9. Early Completion of Trip
In some cases, a trip may conclude earlier than planned. However, no refunds will be given for unused days. For example, if a 14-day trip is completed in 12 days, the client will not receive a refund for the remaining 2 days.
10. Early Trip Termination
If a client decides to end their trip early for personal reasons or unforeseen circumstances, additional charges may apply. These cover logistical adjustments, such as returning porters and managing other operations, which may take one to two extra days.
11. Flight Cancellations
If a flight is cancelled, the company will not provide financial compensation unless the cancellation is directly caused by the company’s actions. However, we will assist with arranging hotel accommodations where applicable, subject to additional charges.
12. Accommodation and Meals
If clients need to stay overnight due to circumstances beyond the company’s control, such as flight cancellations, they will be responsible for accommodation and meal costs. If the company causes the need for an overnight stay, the company will cover these expenses.
13. Agreement of Services
Trekking and expedition destinations often present challenging conditions. While we strive to provide the highest level of service, clients should understand that not all conditions may meet their usual expectations. Clients must be prepared to adapt to the challenges of the environment, which may involve some discomfort or unavailability of certain services.
14. Meals
We carefully select the best available hotels, tea-houses, lodges, and experienced cooks for base camps and higher altitudes. However, tastes may vary from what clients are used to. Clients are expected to follow the guide’s recommendations when choosing meals.
15. Equipment and Gear
If Fourteen Peaks Expedition Private Limited provides any equipment or gear, the client is required to return it to the designated company representative after the trip. Any damage to the equipment will be charged at a rate determined by the company.
16. Publicity
We may request permission from clients to use photographs and videos taken during the trip for promotional purposes, free of charge. Client privacy is important to us, and any materials shared will be used solely for marketing. We appreciate your cooperation in this matter.
17. Children
In line with Nepal’s Mountaineering Rules, individuals under the age of sixteen are not allowed to climb peaks. While trekking is allowed for minors under the supervision of a legal guardian, all individuals under sixteen must be accompanied by a guardian for any trips.
18. Extra Activities
If clients wish to participate in extra activities like skiing, drone flying, or paragliding, they must inform Fourteen Peaks Expedition before the trip. These activities may incur additional government fees. If such activities are not pre-approved, they may violate regulations, resulting in legal consequences and extra costs.
19. Modifications to Itinerary
If clients wish to modify their itinerary, they must notify Fourteen Peaks Expedition via email at least two weeks before departure. Please note that modification requests may result in cancellation fees, particularly for non-refundable items like permits and travel tickets.
